(Executive Board - Voting Member)

Illinois Association of Collegiate Registrars and Admissions Officers
Election/Term of Office: Bylaws, Article V, Section 8. Treasurer. The Treasurer shall serve for a term of one year following one year as Treasurer-Elect.

Reports to: President/Executive Board
Primary Function: To maintain accurate financial information for the association.

Major Responsibilities:

  1. Attend all meetings of the Executive Board. This will require travel to the meetings which will vary in location. Expenses will be paid by IACRAO. There are three to four meetings each year.

  2. Maintain any and all savings and checking accounts for the association.

  3. Receive and disburses all funds as needed and approved.

  4. Prepare periodic treasurer's reports, reflecting income and disbursements, for meetings of the Executive Board.

  5. Prepare an annual treasurer's report for presentation to the general membership at the IACRAO Annual Meeting.

  6. Prepare preliminary budgets for approval by the Executive Board.

  7. Present approved budgets to the membership for ratification at the Annual Meeting

  8. Maintain individual debit/credit ledgers for each account category of the budget.

  9. Prepare the year-end analysis of budget activity by account category.

  10. Secure services of a certified accountant to perform an annual review of IACRAO's financial records and files appropriate tax forms with the federal and state governments.

  11. Maintain records and reports as required to the Internal Revenue Service including all information relative to the organization's tax-exempt status.

  12. Submit budget and financial statements, according to established guidelines, to the editor for publication in the Chronicle.

  13. Maintain knowledge of district conference budgetary information and share it with district chairs prior to the end of December.

  14. Along with the Communications Manager, Past Treasurer, and Treasurer-Elect, properly respond to all inquiries/questions received via the official IACRAO email account(s) on behalf of the organization.

  15. Along with the President, Past President, President-Elect, Past Treasurer, Communications Manager, and Website Manager, responsible for the administration of the MemberClicks system (approving Listserv notifications, updating the system, etc.).

  16. Bring archival material to the conference Executive Board meeting (or as needed) for submission to Archivist.

  1. Maintain the membership database. Send membership database to the Website Manager in September of each year for the membership directory which is housed on the IACRAO website.

  2. Prepare the membership form each May, send the updated form to Website Manager to post on the website, and send an email message to the membership each May to renew.

General: It is the primary function of the Treasurer to maintain accurate financial information and manage membership for the association. The Treasurer should have a working knowledge of simple accounting procedures and methods for budgeting the association's funds for a given year. The Treasurer should keep the President apprised of the financial standing of the association.
